What to Look for When Choosing an AI Receptionist
DevSphere Voice Team · 2026-08-31
The questions worth asking a vendor, including the uncomfortable ones most demos avoid.
Most AI receptionist demos sound impressive because they show the easy calls. The calls that decide whether the system is worth paying for are the awkward ones.
Ask what happens when it does not know
This is the single most revealing question. A good system says it does not know and escalates. A bad one improvises, and you find out when a customer quotes a price you never set.
Ask how emergencies are defined
If the vendor cannot show you where your emergency rules are written down and edited, the system is guessing. Ask to see the escalation chain, including what happens when the first contact does not answer.
Ask what actually happens after the call
- Does it book into the calendar your team already uses?
- Does the lead reach your CRM, or a spreadsheet nobody opens?
- Do you get a usable summary, or a raw transcript?
- Can you see every call, lead and booking in one place?
Ask about setup and who does it
Configuration is the work. If you are handed a blank dashboard and left to describe your entire business into form fields, expect a long, frustrating start. Ask who does the setup, how long it takes, and what happens when your hours or services change.
Ask about pricing structure, not just price
Per-minute pricing means your best month is your most expensive. Fixed allowances are easier to plan around — but check what happens when you exceed one, and get that answer in writing before you sign.
If a provider will not tell you what happens when you exceed your allowance, treat that as the answer.
Ask about your data
Call recordings and customer details are sensitive. Ask where they are stored, how long they are kept, who can access them, and what happens to them if you leave.
