How DevSphere Voice handles information when a business uses our managed AI receptionist platform, and when a visitor uses this website.
Introduction
This policy explains how DevSphere Voice handles information when a business uses our managed AI receptionist platform, and when a visitor uses this website. DevSphere Voice is a product of DevSphere Technologies.
We provide the platform to business customers. Where a business configures the service for its own customers, that business decides what information is collected during calls and how it is used.
Information We Collect
We collect information that customers provide to us, information generated through use of the platform, and limited technical information from this website.
Information Customers Provide
During onboarding and ongoing configuration, customers provide business information such as company details, contact people, services, hours, service areas, booking rules, escalation preferences and integration requirements.
Account and Business Information
We hold account records for each organization, including the users authorised to access the workspace and the plan and add-ons selected.
Call and Communication Data
The platform processes call and message content in order to answer calls, capture the information the business asks for and carry out configured actions.
Where an organization has enabled call recording or transcription, recordings or transcripts are processed accordingly. These capabilities are configuration-dependent and are not enabled by default for every organization.
Usage and Device Information
We collect limited technical information such as pages viewed, approximate device category and referral source. Our first-party website analytics does not collect raw IP addresses and does not use fingerprinting.
Payment Information
Payments are processed by Stripe. Card details are submitted directly to Stripe and are not stored by DevSphere Voice. We retain records such as the plan purchased, subscription status and invoice references.
How We Use Information
To provide, configure and support the service; to operate the receptionist according to each organization's configuration; to manage billing; to communicate about the service; and to meet legal obligations.
AI Receptionist and Automated Processing
Calls are handled by automated systems configured around the business information supplied by each organization. Automated output can contain errors, and the platform follows configured rules rather than exercising independent judgement.
DevSphere Voice is not an emergency service and does not independently determine safety.
Service Providers and Subprocessors
We use third-party providers to deliver the platform, including infrastructure, communications, payment processing and email delivery. Providers are engaged to process information for the purposes described in this policy.
Stripe and Payment Processing
Stripe processes payments and related billing data as an independent processor under its own terms and privacy policy.
Communication Providers
Voice and messaging delivery rely on communication providers. The specific providers used for an organization depend on its configuration.
Integrations Selected by Customers
Where an organization connects a third-party system, information is shared with that system according to the configuration the organization approves. Those systems are governed by their own terms and privacy policies.
Data Retention
We retain information for as long as reasonably necessary for the purposes described in this policy, to provide the service, meet contractual obligations and comply with applicable legal requirements. Specific retention periods may vary by data type and customer configuration.
Security
We use technical and organisational measures appropriate to the service, including access controls and encryption in transit. No method of transmission or storage is completely secure.
Business Customer Responsibilities
Business customers are responsible for configuring the service lawfully, including any notice or consent required for call recording, transcription or messaging in their jurisdiction, and for the accuracy of the business information they supply.
Your Choices and Rights
Depending on your location, you may have rights to access, correct or delete personal information, or to object to certain processing. Where we process information on behalf of a business customer, we direct such requests to that customer.

Information may be processed in countries other than the one in which you are located, including where our providers operate.
Children's Privacy
The service is intended for business use and is not directed to children.
Changes to this Policy
We may update this policy. Material changes will be reflected by an updated effective date on this page.
